Refund & Cancellation Policy

1 Conference and event registrations

1.1 How to cancel

If cancellation of a conference registration is necessary, written notice must be sent to BICSI Saudi Arabia Events at events@bicsi-saudi.org. Please include your order reference (for example PASS-00042) and the name the registration is under.

1.2 No refunds: credit towards the next event

No refunds are issued for cancelled registrations. Instead, the amount paid is adjusted against registration for the next BICSI Saudi Arabia event. Cancellation fees and/or forfeiture of funds may apply.

1.3 When this applies

This applies whatever the reason for the cancellation, including but not limited to:

• failure to attend the conference because of illness;
• alteration or rescheduling of the conference by BICSI Saudi Arabia;
• events beyond the parties’ reasonable control, such as travel disruptions, natural disasters or weather emergencies, civil unrest, epidemics, public health emergencies (declared or undeclared), or acts of terrorism.

1.4 Hotel and travel

Cancelling a conference registration does not automatically cancel hotel or travel arrangements. Attendees are responsible for cancelling their own reservations.

1.5 Free registrations

Free registrations, such as the Exhibition Pass, involve no payment. If you can no longer attend, please let us know at events@bicsi-saudi.org so the place can be released.

2 Memberships

2.1 How to cancel

To cancel a membership, or to ask about a membership payment, write to info@bicsi-saudi.org with your membership reference (for example BICSI-00042), your name and, for corporate memberships, your company name.

2.2 How requests are handled

Each request is reviewed individually by BICSI Saudi Arabia, and we will confirm the outcome to you in writing. Where a refund is approved, it is paid as described in section 4.

3 Payment errors

If you were charged more than once for the same order, or charged an amount that does not match your order, contact info@bicsi-saudi.org with your order reference. Once we have verified the charge with our payment provider, the amount taken in error is refunded in full.

A payment that is declined or not completed does not take any money. Your bank may briefly show a pending authorisation, which it releases on its own.

4 How approved refunds are paid

• Refunds are made through HyperPay to the same card or mada card used for the original payment. They cannot be paid to a different card or account.
• Once we have processed a refund, the time it takes to appear on your statement depends on your bank or card issuer.
• Refunds are made in Saudi riyals (SAR), the currency of the original payment.

6 Changes to this policy

BICSI Saudi Arabia may update this policy from time to time. The version published on this page, with the date shown at the top, is the one that applies.
